Service Department Associate

Be a part of the Duthie Power Services “family” as a Service Department Associate. The Service Department Associate is an integral part of the Service Department by providing administrative support to the Service Department. This position will report directly to the Service Department manager.

In the performance of your respective tasks and duties all employees are expected to conform to the following:

  • Perform quality work within deadlines with or without direct supervision.

  • Interact professionally with other employees, customers, and suppliers.

  • Work effectively as a team contributor on all assignments.

  • Work independently while understanding the necessity for communicating and coordinating work efforts for other employees and other departments within Duthie Power and our external clients and vendors.

Responsibilities:

  • Answer service department phone calls and respond to customer needs. Provide customer with requested documents technician reports, liquid sample results, etc.

  • Respond to customer inquiries via email on shared service department inbox.

  • Send service authorizations based on customer requests.

  • Assist with scheduling as needed. Communicate special call outs and/or instructions for jobs to technicians.

  • Open work orders and distribute work orders to parts department or scheduling as needed.

  • Ensure inventory is returned and removed from cancelled work orders.

  • Work with the parts department to ensure parts are correctly ordered for pending work orders. Communicate part delays to customers.

  • Technician Time Tracking – Ensure Technician Workorders are closed and able to be billed.

  • Manage contracts with outside suppliers as needed.

  • Communicate with internal staff via MS Teams.

  • Other administrative duties as requested by Service team – Respond and work all emails daily – Make notes as required in company CRM.

  • Work as a team with the other members of the service department to provide overall department administrative support.

Qualifications:

  • Working knowledge of Microsoft Suite of Office Products

  • Ability to prepare documents and communicate well with others.

  • Must be able to work 40-45 hours weekly.
